# Accountability

How Rafflex can help you review your own practices, keep a record of who changed what, handle third parties such as affiliates, and publish the steps you take.

***

{% hint style="warning" %}
**This is not legal advice.** Rafflex provides features that can help you support good practice, but this documentation does not tell you what you must do to comply with anything. The code is voluntary and open to interpretation. You are responsible for your own compliance. Please read the [official code](https://www.gov.uk/government/publications/voluntary-code-of-good-practice-for-prize-draw-operators/voluntary-code-of-good-practice-for-prize-draw-operators) in full and take your own professional advice before relying on any feature described here.
{% endhint %}

***

The third area of the voluntary code is about taking responsibility for your own practices. The code asks operators to consider reviewing their own compliance regularly and acting quickly to fix issues, taking reasonable steps so third parties such as [affiliates](/affiliate-referral-scheme/affiliate-referral-scheme.md) and partners follow the code, sharing best practice across the sector, and publishing their player protection, transparency, and accountability measures openly on their website.

Much of this area is about how you run your business rather than a single switch in Rafflex. The points below explain where Rafflex can help.

### Reviewing your own practices

The code asks operators to consider monitoring and regularly reviewing their own compliance, and acting swiftly to correct anything that needs attention.

The reviewing is something you do as the operator, but Rafflex gives you the records to look back on.

#### Reports

The **Downloads** page lets you create reports as CSV files (spreadsheets you can open in Excel, Google Sheets or Numbers). To open it, click **Analytics** in the left-hand menu, then click **Download Reports** at the top of the Analytics page. Reports that can be particularly useful for a regular review include:

* **Behaviour Interventions Export**, a record of the behaviour interventions your site has triggered. If you use behaviour interventions, you can also review each one on the **Interventions** screen under **Customers** in the left-hand menu. See [Behaviour Interventions](/standards/player-protections/behaviour-interventions.md).
* **Draw Winners Export** and **Instant Winners Export**, to check winners were recorded and prizes paid.
* **Customer Withdrawals** and **Customer Withdrawal Summary**, to check withdrawals were handled promptly.
* **Orders Export** and **Sales Report**, for an overall picture of customer activity over time.

If you do not see the **Download Reports** button on your Analytics page, contact Rafflex support. Staff accounts with the **Restrict Financials** restriction cannot open Analytics or the Downloads page.

#### A history of changes on every competition

Every competition has a **System Logs** tab at the bottom of its page in your admin panel. It records important changes and events, newest first, including when the competition was created or updated, instant wins being added or removed, free entries being added, winners being added or drawn, and the competition being duplicated.

Each entry shows when it happened, what happened, and who did it (the admin's email address, or "system" for automatic events). Click **View** on an entry to see its details. Where settings were changed, a **Changes** section lists each field with its **Before** and **After** value side by side.

This makes it easy to answer questions like "who changed the end date?" or "when was this free entry added?" during a review, or if a customer raises a query.

### Controlling who can change what

If other people help run your site, you can give them their own admin login rather than sharing yours. That way the **System Logs** show exactly who made each change.

You can also limit what each staff member can reach. When you edit a user under **Management**, then **Users**, the **Admin Settings** section has an **Is admin** switch and a **Restrictions** box, where you can choose **Restrict Financials**, **Restrict Settings**, **Restrict Orders** and **Restrict Coupons**. For example, someone who only helps with day to day competition admin does not need access to your takings or your site settings.

[Staff Accounts and Access](/managing-your-site/customers/staff-accounts-and-access.md)
{% endcontent-ref %}

{% hint style="success" %}
**Good habit:** give every person their own login, give them only the access they need, and remove their admin access as soon as they stop working with you.
{% endhint %}

### Third parties such as affiliates

The code asks operators to consider taking reasonable steps so that third parties, such as affiliates and partners, also follow the code.

If you run the Rafflex [affiliate referral scheme](/affiliate-referral-scheme/affiliate-referral-scheme.md), you can write **Affiliate Terms & Conditions** that customers must accept before their referral link becomes active. This is a good place to set out how you expect affiliates to promote your competitions, for example not targeting under 18s and not making misleading claims about prizes or odds.

1. In the **admin panel**, go to **Settings**, then click **Affiliate** in the Settings side menu.
2. Make sure **Enable Affiliate Scheme** is switched on. The other affiliate sections only appear once it is.
3. In the **Terms & Conditions** section, write your terms in **Affiliate Terms & Conditions**. The note reads "Users must accept these terms before their referral link becomes active. Leave empty to skip the T\&Cs requirement."
4. Click **Save Settings**.

You can then keep an eye on referral activity from your admin panel. See [Setting Up the Scheme](/affiliate-referral-scheme/setting-up-the-scheme.md) and [Managing Referrals](/affiliate-referral-scheme/managing-referrals.md).

For partners outside the affiliate scheme, such as influencers or marketing agencies, this is handled through your own agreements with them.

### Sharing best practice

The code asks operators to consider sharing best practice across the sector. This is something you do as part of how you run your business, for example through industry groups or conversations with other operators. There is nothing to set up in Rafflex for this.

***

### Publishing the steps you take

The code asks operators to consider publishing their player protection, transparency, and accountability measures openly on their website.

Rafflex does not write this for you, but it is easy to add a dedicated page to your site explaining the steps you take, such as your age checks, safer play tools, how your draws work and how you pay winners.

1. In the **admin panel**, go to **Content**, then **Pages**, and click **New page** in the top right corner.
2. Type a clear **Title**, such as "Our Commitments" or "Safer Play". The **Slug** (the end of the web address) fills itself in.
3. Set **Layout** to **Simple**.
4. Switch on **Active** so the page is listed in the **Page Links** column of your site footer.
5. In the **Blocks** area, click **Add to blocks** and choose **Wysiwyg**, which gives you a text editor for headings, lists and links. Write your content.
6. Click **Create**, then open your site to check the page.

The [Player Protections](/standards/player-protections.md) and [Transparency](/standards/transparency.md) pages are a handy checklist of the features you might want to mention.
