# Sales Report

Get a line by line breakdown of every competition sold in your completed orders. See the customer, tickets, discounts, site credit and how each sale was paid for.

***

The Sales report gives you a detailed, line by line record of what you sold within your chosen dates, as a spreadsheet (CSV file). Each row is **one competition within one order**. If a customer bought tickets for three different competitions in a single checkout, that order appears as three rows, one for each competition.

Use it when you want to see sales at the level of individual competitions, for example:

* Working out how much a particular competition took over a weekend.
* Seeing which customers bought into a competition, and how many tickets they got.
* Splitting your takings into money paid by card and money paid with [site credit](/additional-settings/site-credit-and-wallets.md).
* Checking how much discount your [coupons](/marketing/website-tools/promos-and-discounts.md) gave away on each competition.

{% hint style="info" %}
**Sales report or Orders report?** The Sales report has one row per competition in each order, so it is best for "what sold". The [Orders](/downloads-and-reports/downloads/orders-export.md) report has one row per order, so it is best for "how many orders did we take" and for checking your payment provider statements.
{% endhint %}

### How to Generate

1. In the **admin panel**, open **Analytics** from the left-hand menu.
2. Click the **Download Reports** button at the top of the page. This opens the **Downloads** page.
3. Click **Generate Report**.
4. Choose **Sales** from the menu. It sits in the group with **Orders** and **Payment Gateway**.
5. Set your **Date Range** (see below).
6. Click **Submit**.

You will see a **Download Started** message. The report is prepared in the background, and you will receive an email titled **Your Sales Report is Ready** with a **View Downloads** button. You can also stay on the **Downloads** page and click **Download** next to the report once its status shows as complete. Finished files stay on the Downloads page for 30 days.

{% hint style="info" %}
**Can't see the Download Reports button?** Contact Rafflex support and we will help you get access. If you are a staff member and cannot see **Analytics** in the menu at all, your account probably has the **Restrict Financials** restriction, which blocks Analytics and all downloads. The site owner can change this, as explained in [Staff Accounts and Access](/managing-your-site/customers/staff-accounts-and-access.md).
{% endhint %}

{% hint style="info" %}
You can have up to 3 reports being prepared at once. If you see **Report Limit Reached**, wait for one to finish before starting another.
{% endhint %}

### Filters

#### Date Range

Choose one of the ready made ranges: **Last 1 Day**, **Last 3 Days**, **Last 5 Days**, **Last 7 Days**, **Last 14 Days**, **Last 30 Days** (the default) or **Last 60 Days**.

To pick your own dates, choose **Custom**. Two date boxes appear, **From Date** and **To Date**. A custom range can cover up to 3 months, and neither date can be in the future. For a longer period, run the report more than once (for example one quarter at a time) and combine the files.

Orders are included based on the date and time they were **placed**. The whole of your From Date and the whole of your To Date are included.

#### Which orders are included

Only **completed** orders are included. Orders that are still pending (the customer started checkout but did not finish paying) and orders that have been cancelled are left out. This keeps your ticket and money totals in line with your other sales figures, so unpaid or cancelled orders never inflate them.

{% hint style="warning" %}
If you [cancel or refund an order](/essential-settings/wallet-and-withdrawals/cancelling-and-refunding-orders.md), it is marked as cancelled and will no longer appear the next time you run the Sales report. A file you downloaded earlier will still show it, so always run a fresh report before doing your final figures for a period.
{% endhint %}

### What's Included

Each row represents one competition within one order. The newest orders are at the top.

| Column              | What it shows                                                                                                                                                                      |
| ------------------- | ---------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Date** | When the order was placed, written as year, month, day and time (for example 2026-03-14 19:42:05). |
| **Order ID** | The order number. Use it to find the order in the **Orders** section of your admin panel. Rows that share an Order ID came from the same checkout. |
| **Customer** | The name the customer entered at checkout. |
| **Email** | The email address the customer entered at checkout. |
| **Product**         | The competition title.                                                                                                                                                             |
| **Tickets** | The number of tickets the customer received for this competition, including any bonus tickets from a promotion. |
| **Subtotal** | The value of this competition's tickets in the order, before any discount code or site credit. |
| **Coupon Discount** | The part of a [discount code](/marketing/website-tools/promos-and-discounts.md) that applied to this line. |
| **Credit Used** | Site credit spent on this line when the customer paid **partly** with credit and partly by card. Orders paid entirely with credit show £0.00 here and use **Wallet Paid** instead. |
| **Total** | **Subtotal**, minus **Coupon Discount**, minus **Credit Used**. |
| **Card Paid** | The money for this line that came in through your payment provider (card, Apple Pay, Google Pay, or PayPal if your site uses it). |
| **Wallet Paid** | The money for this line that was paid with site credit. |
| **Payment Gateway** | How the whole order was paid, for example **Cashflows**, **PayPal**, **Wallet**, **Partial**, **Free** or **Postal**. **Partial** means part site credit, part card. |
| **Status** | The order status. As only completed orders are included, this always shows **Complete**. |

{% hint style="info" %}
**Orders with several competitions.** When one order covers more than one competition, any discount code and any partial site credit are shared across the rows in proportion to each row's value. That means each competition carries its fair share of the discount and credit, and the rows for an order add up to the order as a whole.
{% endhint %}

### Which Money Column Should I Use?

On every row, **Card Paid** plus **Wallet Paid** equals **Subtotal** minus **Coupon Discount**. In other words, those two columns together are what the customer actually paid for that competition, split by where the money came from.

{% hint style="success" %}

* For the **full value of what you sold**, add **Card Paid** and **Wallet Paid** together.
* For **matching against your payment provider statements**, use **Card Paid**. It only counts money that came in from outside your site, not site credit.
* To see **how much site credit customers spent**, use **Wallet Paid**.
* Avoid adding up **Total** on its own. For Partial orders it only includes the card part, while for orders paid entirely with site credit it is the credit spent, so the sum does not mean one single thing.
  {% endhint %}

Here is how one order of each type looks:

| Payment Gateway | Card Paid | Wallet Paid |
| --------------------------- | ---------------------------- | ---------------------------- |
| **Cashflows** or **PayPal** | Everything the customer paid | £0.00                        |
| **Wallet**                  | £0.00                        | Everything the customer paid |
| **Partial** | The card part | The site credit part |
| **Free** or **Postal**      | £0.00                        | £0.00                        |

### Tips for Working With the File

* **Total sales for one competition.** In your spreadsheet, filter the **Product** column to the competition you want, then add up **Card Paid** and **Wallet Paid**.
* **Ticket counts.** Add up the **Tickets** column for a competition to see how many tickets were bought in the period. Remember this includes bonus tickets from promotions, and it only covers completed orders within your dates.
* **Counting orders.** Because an order can have several rows, count the number of different **Order ID** values rather than the number of rows.
* **Currency.** Money values are shown in pounds with a £ sign (for example £1,250.00). Most spreadsheet apps read these as numbers automatically. If yours treats them as text, use find and replace to remove the £ sign and the commas.
