# Product Performance Report

See how each competition is performing with tickets sold, sell-through rate, revenue split by how customers paid, order counts and key dates. Find your best and worst performing competitions.

***

The Product Performance report gives you a summary for each [competition](/create-your-first-raffle/create-a-competition.md) on your site, as a spreadsheet (CSV file). For every competition, you can see how many tickets have gone, the sell-through rate (the percentage of available tickets that have been taken), the revenue it has brought in, how that revenue was paid, and its key dates and status.

Use it to:

* Find your best selling competitions, so you can run similar prizes again.
* Spot competitions that are selling slowly and may need more promotion.
* See how quickly your sold out competitions sold out.
* Compare how much of each competition's revenue came from card payments and how much from [site credit](/additional-settings/site-credit-and-wallets.md).

### How to Generate

1. In the **admin panel**, open **Analytics** from the left-hand menu.
2. Click the **Download Reports** button at the top of the page. This opens the **Downloads** page.
3. Click **Generate Report**.
4. Choose **Product Performance** from the menu. It sits in the group with **Category Performance**.
5. Set your **Date Range**, and switch on **Sold Out Products Only** if you want it (see below).
6. Click **Submit**.

You will see a **Download Started** message. The report is prepared in the background, and you will receive an email titled **Your Product Performance Report is Ready** with a **View Downloads** button. You can also stay on the **Downloads** page and click **Download** next to the report once its status shows as complete. Finished files stay on the Downloads page for 30 days.

{% hint style="info" %}
**Can't see the Download Reports button?** Contact Rafflex support and we will help you get access. If you are a staff member and cannot see **Analytics** in the menu at all, your account probably has the **Restrict Financials** restriction, which blocks Analytics and all downloads. The site owner can change this, as explained in [Staff Accounts and Access](/managing-your-site/customers/staff-accounts-and-access.md).
{% endhint %}

{% hint style="info" %}
You can have up to 3 reports being prepared at once. If you see **Report Limit Reached**, wait for one to finish before starting another.
{% endhint %}

#### Date Range

Choose one of the ready made ranges: **Last 1 Day**, **Last 3 Days**, **Last 5 Days**, **Last 7 Days**, **Last 14 Days**, **Last 30 Days** (the default) or **Last 60 Days**.

To pick your own dates, choose **Custom**. Two date boxes appear, **From Date** and **To Date**. A custom range can cover up to 3 months, and neither date can be in the future.

**How the date range works in this report.** A competition is included if it was **running at any point** during your dates, based on its start and end dates. So a competition that started before your range, or that is still running after it, is still included as long as part of it falls inside your dates.

{% hint style="warning" %}
**The figures are for the whole life of each competition.** The date range only decides **which competitions** are in the report. The tickets, revenue and order figures for each competition always cover everything it has sold, not just the sales made within your dates. If you need sales within a specific period, use the [Sales](/downloads-and-reports/downloads/sales-report.md) report instead.
{% endhint %}

#### Sold Out Products Only

Switch this on to only include competitions that have sold every ticket. It is off by default, so all competitions that match your dates are included. This is handy for reviewing how quickly your sold out competitions sold and what they took.

### What's Included

Each row represents one competition. The competitions that have brought in the most revenue are at the top.

#### Competition details

| Column                    | What it shows                                                                                                                                                                                                            |
| ------------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------ |
| **Product ID** | The competition's ID number in your admin panel. |
| **Product Title** | The competition title. |
| **Price (£)**             | The price of a single ticket.                                                                                                                                                                                            |
| **Max Tickets** | The total number of tickets available. |
| **Tickets Sold** | Every ticket allocated to the competition so far. This includes bonus tickets from promotions and [free entries](/additional-settings/free-entry.md), so it can be higher than the number of tickets customers paid for. |
| **Sell-Through Rate (%)** | **Tickets Sold** as a percentage of **Max Tickets**. 100% means the competition is sold out. |

#### Revenue

All revenue figures only count **completed** orders. They are after any discount code has been taken off.

| Column                       | What it shows                                                                                                                                          |
| ---------------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------ |
| **Revenue (£)** | The total revenue for the competition. It is the sum of all the payment columns below, and does **not** include **Wallet Credit Used**. |
| **Card Revenue (£)** | Orders paid in full by card (including Apple Pay and Google Pay). |
| **PayPal Revenue (£)** | Orders paid with PayPal. This column only appears if at least one competition in the report took PayPal payments. |
| **Partial Card Revenue (£)** | The card part of orders that were paid partly with site credit and partly by card. |
| **Wallet Revenue (£)** | Orders paid in full with site credit. |
| **Other Revenue (£)** | Anything paid another way. For most sites this is £0.00. |
| **Wallet Credit Used (£)** | The site credit part of orders that were paid partly with site credit and partly by card. This is shown separately and is **not** part of **Revenue**. |

#### Orders and dates

| Column                    | What it shows                                                                                                                                                                          |
| ------------------------- | -------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Total Orders** | The number of completed orders that included this competition. |
| **Avg Tickets per Order** | The average number of tickets per order for this competition, rounded to a whole number. |
| **Start Date** | When the competition opened, as day, month, year and time. |
| **End Date** | When the competition closes. When a competition sells out, its end date is moved forward to around the time it sold out. |
| **Draw Date** | When the competition is due to be drawn. |
| **Days Active** | How many whole days the competition has been running (see below). |
| **Status** | **Sold Out**, **Active** or **Inactive** (see below). |
| **Featured** | **Yes** if the competition has **Add To Slider** switched on, so it shows in your homepage [slider](/customise-your-site/set-up-your-homepage/how-the-slider-chooses-competitions.md). |
| **Winner Announced** | **Yes** once a main draw winner has been recorded for the competition. Instant wins do not count towards this. |

#### How Days Active is worked out

* **Not started yet**: 0.
* **Sold out**: the number of days from the start date until the last ticket was taken.
* **Ended without selling out**: the number of days from the start date to the end date.
* **Still running**: the number of days from the start date to today.

#### What the Status means

* **Sold Out**: every ticket has gone. This takes priority over the other two.
* **Active**: the competition's **Active** toggle is switched on. A competition that has ended but still has Active switched on also shows here.
* **Inactive**: the **Active** toggle is switched off.

### Understanding the Revenue Columns

The payment columns always add up to **Revenue (£)**. Here is how the main ways of paying are split:

| How the customer paid | Where the money appears |
| ------------------------------- | ---------------------------------------------------------------------------- |
| Fully by card | **Card Revenue** |
| With PayPal                     | **PayPal Revenue**                                                           |
| Partly site credit, partly card | Card part in **Partial Card Revenue**, credit part in **Wallet Credit Used** |
| Fully with site credit | **Wallet Revenue** |

{% hint style="info" %}
**Comparing with the Analytics page.** The **Turnover** figure in the competition table on the [Analytics](/helpful-info/analytics.md) page only counts real money and leaves out site credit. To get a figure you can compare with it, take **Revenue** and subtract **Wallet Revenue**.
{% endhint %}

{% hint style="success" %}
**Want the full value of tickets sold, however customers paid?** Add **Revenue** and **Wallet Credit Used** together.
{% endhint %}

### Tips for Using This Report

* **Find your winners.** The file is already sorted by revenue, so the top rows are your best earners. Look at their ticket price, max tickets and Days Active to see what made them work.
* **Spot slow sellers.** Sort by **Sell-Through Rate (%)** and look at competitions that are still running with a low rate. These may benefit from a push on social media or an email to your customers.
* **Check sell out speed.** Switch on **Sold Out Products Only** and sort by **Days Active** to see which prizes sold out fastest.
* **Draw reminders.** Filter for competitions where **Status** is **Sold Out** and **Winner Announced** is **No** to see which competitions may still need drawing.
* **Currency.** Money values are shown in pounds with a £ sign. If your spreadsheet treats them as text, use find and replace to remove the £ sign and the commas.
