Managing Referrals

How to view referrals, monitor performance, and manage individual users' affiliate participation from your admin panel.

Viewing Referrals

Find Referrals under the Management group in your admin panel navigation to see all referrals across your site.

The table shows:

  • Referrer — the customer who shared the link

  • Referred User — the person who signed up (or "Pending" if they haven't registered yet)

  • Code Used — the referral code from the link

  • Status — the current state of the referral (see below)

  • Qualifying Order — the order that triggered the reward (if applicable)

  • Referrer Reward — the amount paid to the referrer

  • Referred Reward — the amount paid to the new customer

  • Referred At — when the referral was created

You can search by referrer or referred user name, and click any referral to view its full details.

Understanding Referral Statuses

Status
What It Means

Pending

The referred user has signed up but hasn't made a qualifying purchase yet

Awaiting Approval

A qualifying purchase has been made and the reward is waiting for you to approve it (only when manual approval is on)

Held

The reward has been calculated but is in the cooling-off (hold) period before being deposited to wallets

Rewarded

The reward has been deposited to both users' wallets — the referral is complete

Rejected

You declined the reward for this referral, so nothing is paid

Filtering Referrals

Use the filters at the top of the referrals table to narrow down what you see:

  • Status — filter by Pending, Awaiting Approval, Held, Rewarded, or Rejected

  • Date range — show only referrals created within a specific time period

Summary Stats

At the top of the Referrals page, you'll see summary statistics:

Stat
What It Shows

Total Clicks

How many times referral links have been clicked across all users

Total Referrals

How many referral records exist, with the number of conversions shown below

Conversion Rate

The percentage of referral link clicks that led to a qualifying purchase

Total Rewards Paid

The total amount deposited to wallets for all completed referrals

These stats give you a quick overview of how the affiliate programme is performing. When manual approval is enabled, you will also see an Awaiting Approval count, and the navigation shows a badge with the number of referrals waiting for you.

Approving and Rejecting Referrals

This section only applies if you have turned on Require Manual Approval in your affiliate settings. When it is off, qualifying referrals are paid automatically and there is nothing to approve.

With manual approval on, each qualifying referral lands in the Awaiting Approval state and no reward is paid until you act on it:

  • Approve – the reward is credited immediately, or moves into the hold period if you have set one.

  • Reject – no reward is paid, the referral is marked Rejected, and the referrer is emailed to let them know. You can record an optional reason.

You can approve or reject a single referral from its row, or select several and use the bulk Approve and Reject actions to handle them together.

You never have to pay rewards by hand. Approving a referral (or leaving approval off entirely) credits the wallet automatically. There is no separate "pay" button.

Managing Individual Users

You can manage a user's affiliate participation from their profile in the admin panel:

  1. Go to Admin > Users

  2. Find and edit the user

  3. Use the affiliate actions in the actions menu

Reset Affiliate Code

Generates a new referral code for the user.

  • Their old referral links immediately stop working — anyone clicking an old link will not be tracked

  • Existing referral records are preserved under the old code

  • The user receives a new code and can share updated links

Use this if you suspect a user's code has been compromised or misused.

Disable Affiliate

The Disable Affiliate action prevents a user from participating in the affiliate scheme.

  • Their referral link stops being tracked — clicks are logged but no new referrals are created

  • Existing referrals and any already-earned rewards are preserved

  • Their affiliate code is not removed, just deactivated

Use this for suspected abuse, fraud, or policy violations.

Enable Affiliate

If you've previously disabled a user, the Enable Affiliate action turns their participation back on. Their existing code becomes active again immediately.

Important Things to Know

Resetting a Code

When you reset a user's affiliate code, their old links stop working immediately. Any links they've already shared with friends will no longer track referrals. The user will need to share their new link going forward. Existing referral records created under the old code are preserved — you won't lose any historical data.

Disabling a User

Disabling a user's participation only stops new referrals from being tracked. It does not affect their existing referrals or any rewards they've already earned. If they have held rewards in the cooling-off period, those will still be released on schedule.

Deleted Users

If a referred user or referrer deletes their account, the referral record is preserved and any earned rewards remain credited. You may see blank names in the referrals table where a deleted user used to be.

Pending Referrals

Referrals stay in Pending status indefinitely until the referred user makes a qualifying purchase. There is no automatic expiry — if someone signs up via a referral but never buys anything, the referral simply remains pending.

Referral Cap

If you've set a maximum referral cap per user and a customer hits that limit, new visitors who click their link will still be able to register as normal customers — they just won't be attributed as a referral, and no rewards will be generated for that link.
